Managing Patrons' Preferences Using the Tessitura Custom Screen

Objective: Your organization has the ability to manage your patrons choices for receiving emails. Patrons can have one primary and/or multiple secondary email addresses, each with its own email marketing preferences. To provide greater flexibility, mail2 manages a patron’s subscription preferences at the email address level rather than the constituent record level. You can edit the preferences of the individual email addresses in a constituents record on the mail2 Custom Screen in Tessitura. 

Box office staff, customer service representatives, and email marketing administrators can also use the mail2 Custom Screen in Tessitura to manage the preferences for all email addresses associated with a single constituent record. Simply locate the appropriate constituent record in Tessitura and select the mail2 radio button on the Custom Screen of the constituent record and follow the steps below each task.
Note: Only lists marked as "Show in Forms" in the mail2 dashboard will appear in the Custom Screen.

Modify E-mail Preferences for an Existing Email Address

From the Select Existing drop down menu on the upper-left side of the screen, select the existing email address you want to modify.

Select the radio button for each mailing list this email address prefers to be on or off.

Click on the Update button to save your changes.

Add a New Email Address

In the Enter new field, type in the new email address you want to add to the constituent record.

Select the radio button for each mailing list this email address prefers to be on or off. Email addresses will only be added to the mail2 dashboard if at least one list is selected to be opted in.

Click on the Update button to save your changes.

Unsubscribe an Existing Email Address

From the Select Existing drop down menu on the upper left side of the screen, select the existing email address you want to unsubscribe.

Click on the Permanently Unsubscribe button to save your changes.

Permanently Delete an Existing Email Address

From the Select Existing drop down menu in the upper-left side of the screen, select the existing email address you want to delete.

Click on the "Delete Contact" button to save your changes.

This will only delete the contact from the mail2 database, not Tessitura. To prevent this contact from being re-added to mail2 in the future, you must also delete this email address from the constituent record in Tessitura. This delete action may take up to 30 days to complete.

Confirm the delete action by clicking "OK"

Reactivate an Unsubscribed Email Address

From the Select Existing drop down menu in the upper-left side of the screen, select the existing email address you want to reactivate.

Click on the Reactivate button to save your changes.

When prompted, click confirm. The patron is now reactivated.

View the Campaign History

From the Select Existing drop down menu in the upper-left side of the screen, select the existing email address you want to review.

Click on the History button and all campaigns sent to that email address will be displayed.

To view a copy of an email, click on the name of the campaign name.
To resend a copy of the email to the patron, click the blue envelope icon next to the campaign name.
